Privacy Policy

As a collective we have a responsibility to act carefully and compassionately when it comes to security of the users of both our physical and internet spaces. There are some things we do well and some things we need to work on. If you have questions you can email us at info@spartacusbooks.net.

Who we are

We are an infoshop! This policy governs our relationship between you and this website (https://spartacusbooks.net) as well as the ways you can interact with our store online (eg: filling out forms and emailing us). It does not apply to internal services we may offer for use by collective members.

What personal data we collect and why we collect it

We are not interested in collecting your data unless its needed for a collective function. If you fill out a form we will collect data from this. Additionally we make use of some third parties which collect their own data.

Volunteer applications

We take the privacy of our volunteer application system seriously. When you apply your application is only visible to collective members. We have processed volunteer applications in a few different ways over the years. As a general principle, we regularly clear our volunteer applications and data that are no longer relevant. If you have questions about if we hold data about you and how it is stored you can email us or give us a call and we can look into it.

Prior to about 2014, we processed volunteer applications as paper forms filled out in the store. Every paper application submitted has been destroyed, we retain no information submitted on these applications.

Between 2014 and the beginning of 2022, we processed volunteer applications using a google form and google spreadsheet. At the beginning of 2022 we deleted all volunteer application information stored on google. We moved information still under process to an internal system.

As of February 2022, we have migrated our volunteer application away from google. Now volunteer applications are processed directly on our web server and transmitted to our internal systems as we review them. We still use Google to send you emails though, so you should assume data you enter may still be visible to Google, although we work to limit this.

Event Bookings

Our events calendar and email is hosted by Google. You should consider the security implications of sending us information via email or the events form.

Book orders

When you request a book delivery we will collect information required to delivery the book. This includes your name, email, phone number, and address. We will store this information indefinitely in order to help us fulfill future orders. You can contact us if you would like us to delete your information on file.

Cookies

We use Cloudflare to mitigate security risks and provide greater reliability when accessing our website. Cloudflare may choose to set some cookies to perform analysis on traffic to detect threats. You can read more about these cookies at https://support.cloudflare.com/hc/en-us/articles/200170156-Understanding-the-Cloudflare-Cookies#12345682. We do not have access to this cookie.

If you choose to opt out from analytics, we will also store this decision in a cookie to ensure we don’t send tracking events for your session.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

When you visit our website we keep track of the following: the website which you visited us from, the parts of our site you visit, the date and duration of your visit, your IP address which we anonymise on receipt for use in website analytics, information from the device (device type, operating system, screen resolution, language, country you are located in, and web browser type) you used during your visit, and more. We process this usage data using Matomo Analytics, and we process the information for statistical purposes, to improve our site and to recognise and stop any misuse.

This data is only stored on our server and never shared with a third party.

Emails you send us

We can only receive email to our google mailbox at info@spartacusbooks.net. Please exercise caution with what you send us and what email addresses you use. If we have outgoing mail that we deem sensitive we may route it through another provider that aligns more closely with our values.

We always can accept PGP email sent encrypted with our public key (fingerprint = 25C3 A3D3 5DD5 FB19 CBC8  1704 EDE2 4E51 2DE5 47FF). And if you include your key, we will send you back email encrypted as well. It will take longer to receive a response if you use PGP as not many collective members can use PGP.

What rights you have over your data

You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Requests for data must be emailed info@spartacusbooks.net.

You may also opt out of analytics tracking using the form below. This will disable our tracking script, but we still obtain analytics about traffic patterns from Cloudflare as part of their service.

You may choose to prevent this website from aggregating and analyzing the actions you take here. Doing so will protect your privacy, but will also prevent the owner from learning from your actions and creating a better experience for you and other users.

Where we send your data

Submissions to any of our forms except our volunteer application are sent to google for processing and storage. Our volunteer application is only stored on our internal network. Additionally your data will be stored inside our internal network which includes both computers in our store and in data centres elsewhere in Canada.

Canary

We host a canary at https://spartacusbooks.net/security/. This is updated twice yearly. In the event of a privacy breach that we are compelled to not disclose, the canary will not be updated.
